ERP Requirements Review
For an ERP Software implementation to be successful, it is important that the major business requirements be understood early in the process. From our initial contact with a prospective client, we review all of the information presented and ask many probing questions. Our team has many years of experience working with many different types of organizations. This has enabled us to develop best practices across many disciplines. We use this experience to offer up suggestions to help our clients dramatically improve their business processes as they move through the implementation process.
Training
Proper training is very important for companies to fully benefit from their investment in their ERP Software. If users do not fully understand the capabilities of the software they will revert back to using spreadsheets, post-it notes and other tools which will impact their productivity. While training is provided during the implementation process, we can also provide ongoing training as needed. This may occur due to changes in personnel or process changes that evolve based upon new business requirements. Training can be tailored to the specific client request and delivered onsite or web-based.
Custom Software Development
It is widely accepted that if an ERP Software solution can meet 85-90% of a client’s requirements out of the box, it is considered a good fit. Sometimes this is sufficient for a client as they can use other software tools to supplement these requirements. In other cases, a client may wish to modify the ERP Software to provide the additional functionality needed. We have certified development team members that can provide these customizations very cost-effectively. The majority of our clients have at least some minor customizations which have provided them significant efficiency gains and cost savings. The development toolset provided by Acumatica allows for most customizations to be performed rapidly and with little to no impact on software version upgrades.
How Does Acumatica
Implementation Work?
A successful implementation requires a collaborative effort between the client’s project team and our Project Manager. An overview of our implementation process is defined below:
Project Kickoff/
Project plan
We begin our kickoff by identifying the project goals, project participants, list of all major project tasks & milestones and a schedule for regular communication and execution throughout the project.
Requirements
Discovery
In our detailed discovery process we review your internal procedural documents, business forms, and interview your team members to document their key business processes.
Software configuration
This process includes enabling the appropriate software features required for this implementation and setting the appropriate controls and actions to match your desired functionality.
Data Conversion
We develop the data templates required to gather information from you legacy ERP software, in the case data fields do not match we also assist in data mapping to complete the conversion.
Conference Room Pilot (CRP)
The Conference Room Pilot is intended to test all major transactions in the new software based upon the initial configurations.during this process, we flush out additional requirements or need to modify configurations.
User Training
We prepare training documents, a training environment is established, and training is scheduled. We adapt our training to how to prefer to be taught to ensure a successful implementation and adoption.
Go-Live Conversion and Assistance
This is a critical part of the implementation and requires an “all hands on deck” approach. Our team will work diligently to finalize the conversion so that you will be able to function normally without negatively impacting your business.
1st Period End Processing
Our implementation engagement typically runs through the first period-end close to ensure that the software is operating as desired and to provide the final training on the period-end account reconciliation and closing process.
On-Going Support
We view the relationship with our clients as a long-term partnership. We will continue to work with you over time updating the software for new version releases and new requests as your business grows and your requirements change. There are several options for ongoing support that are discussed with each client during the pre-sales process. For example, there are several support plans offered directly by Acumatica and we also offer ongoing support plans. We work with each client individually to accommodate their support requirements.
